How email sending works in Snov.io

This article describes what happens behind the scenes when Snov.io sends your emails and how you can control email sending to improve campaign performance.

The email sending process in Snov.io is designed to give you, as a user, precise control over how your campaigns are sent, allowing you to achieve the best possible deliverability for your emails.

We will outline the key points to help you better understand how Snov.io sends your emails and what you should consider when sending campaigns.

How your emails are sent

Once you’ve connected your mailbox to Snov.io, it sends emails on your behalf directly from your email address, making it appear as though you personally sent them. As a result, you’ll typically find these messages in your “Sent” folder.

Note: When sending emails, Snov.io acts as an email client application and uses your email account provider’s servers to send emails to your recipients.

 

Our server IP addresses initiate the email sending process by making a request to your email provider’s servers, while your provider’s IP addresses are then used to actually send the emails.

Since your ESP (Email Service Provider) is the actual email sender, and therefore, the email sending process should also follow the rules set up by your email provider.

You should be aware of your email provider’s daily email sending limit and email sending guidelines to ensure that your account is not blocked and your messages are not marked as spam.

If you exceed the daily email sending limits, send emails containing spam words, or otherwise violate email sending guidelines, your email provider may send us a server error that usually results in the temporary suspension of your mailbox (for 24 hours or more).

If that is the case, Snov.io will not be able to send your campaigns and will display an error in the email account settings.

How you can control the sending process in Snov.io

When you connect your mailbox to Snov.io and create your email campaign, you can adjust the way your emails are sent to optimize your email sending.

These settings let you to control the frequency, volume, and timing of your email sending, including the number of emails sent per day, follow-up intervals, and scheduling on specific days.

Manage email account settings

The settings below are configured individually for each mailbox that you connect to Snov.io.

  • Delay between individual emails

By default, Snov.io sends your emails with a fixed 30-second time interval.

To appear less automated and more humanlike, we suggest selecting longer, randomized delays for your email sending.

  • Total emails per day (daily sending goal)

With a default interval between emails, Snov.io sends 120 emails per hour from a chosen email account.

You can adjust the limit of your email sending in the email account settings to ensure that you stay within your ESP’s daily limit.

To check and edit the sending limit: 

Go to Email Accounts list.

Click Edit icon next to the mailbox you want to check. Under Optional settings, open Daily sending limit menu.

Attention: We do not recommend choosing limits that are lower than the defaults.

Set campaign schedule (sending window)

It’s important to schedule your emails to be delivered consistently within the recipient’s working hours.

Proper email timing can increase the visibility of your emails and improve email engagement.

That’s why we provide you with the option to set a sending window while setting up your campaign, so that they can be sent according to your desired schedule.

You can select days and hours during which your campaign emails will be sent. In addition, you have the option to choose a time zone that is specific to your target audience.

Note: The campaign schedule always takes priority, and Snov.io will stop sending emails when the specified sending window has ended. Any remaining emails will be queued to be sent the following day.

Set intervals between your follow-ups

When creating your email sequence, you can add delays between your follow-up emails and specify the number of days and hours after which the next email will be sent.

A one-day delay means that the next email is sent exactly 24 hours after the previous email.

Note: Snov.io will automatically stop future emails if your prospect replies, sends an out-of-office reply, or unsubscribes from your campaign.

 

For instance, if the previous email was sent at 12:00 PM, and you set a 1-day delay, the next email to that particular prospect will be sent at 12:00 PM the following day (provided that sending is allowed for that day according to the campaign schedule).
