In this article, you’ll learn how to add multiple email sender accounts from a CSV file. It also explains the required fields and how to fill them out correctly.
Snov.io lets you connect unlimited email accounts for use in your multichannel campaigns.
To add multiple email sender accounts at once, use the Import from CSV option in your account settings.
Upload a CSV file with account details and provider settings, and Snov.io will automatically set up the accounts using data from your file.
Step. 1: Prepare CSV file
Import from CSV supports adding accounts from providers that have SMTP/IMAP server settings. You can view a list of the required fields (columns) and how to structure data in the sample file.
To create your CSV for import, use the sample as a template. Create a copy of the spreadsheet (File → Make a copy) and update it with your own data. After adding your data, download the updated file from your Google Sheets (File → Download → .csv) option.
You can add up to 100 email accounts per single import. This means your file should have 100 rows of data, one row for each account. If the first row contains headers, there can be 101 rows. To import more than 100 accounts, split your data into multiple CSV files and perform separate imports.
Required CSV fields
In the sample file, take note of the columns marked as “required”. They must be filled in correctly for successful import. Let’s break down what data to add in each required field.
From email:
Enter the email address from which you send emails. This is usually your full email address. It can be the actual email address or the email you want to appear as the sender in the recipient’s inbox.
From name:
Enter the sender name to be associated with the email account in Snov.io. Add your name or the name of the account owner.
SMTP host:
Enter the URL address used by your email provider for SMTP connection. An SMTP host is required to connect to your provider’s server for sending emails.
Your provider specifies the SMTP host you should use when connecting to other services.
For example, if your provider is Gmail or Google Workspace, the host is “smtp.gmail.com”. If your provider is Microsoft Outlook, the host is “smtp-mail.outlook.com”. It can also be the SMTP host of any other provider or a custom email server.
SMTP port:
Enter the SMTP port used by your provider for SMTP connection. Make sure to enter it correctly as it may affect the connection success. Gmail uses port 465. Microsoft Outlook uses port 587. The port you enter also determines the type of SMTP encryption. SSL, or TLS.
Password:
Enter the password you use to sign in to your email client account.
For connecting Gmail accounts, enter the app password in this field instead of your regular password. Each Gmail user (within the Workspace) has their own unique app password.
IMAP host:
Enter the URL address used by your email provider for IMAP connection. An IMAP host is required to connect to your email provider’s server for receiving emails.
For example, if your provider is Gmail or Google Workspace, the IMAP host is “imap.gmail.com”.
IMAP port:
Enter the port number used by your provider for IMAP connection. Port 993 is used as the default for all secure IMAP connections.
Optional CSV fields
SMTP username:
This field is required only if you’re importing an account different from the one in the “From email” field. In that case, enter the email address for that account as the SMTP username and add its password in the Password field. If it’s a Gmail address, remember to use the app password.
IMAP username and password:
These fields are only required if you receive replies on a different email account from the one in the “From email” field. In that case, fill in the username and password for that account so Snov.io can track replies. IMAP details are required for syncing your replies with prospects and statistics in your Snov.io account.
The CSV file can include fields for email settings, allowing you to configure them in bulk: Delay between emails, Daily sending limit, Custom tracking domain.
Delay between emails
Enter the interval value (in seconds) for emails sent from this account. One number means the interval is fixed. Two numbers separated by a comma means a random delay in the range of entered numbers. The field’s value will be set to 30 if you leave it blank.
Daily limit
Specify the maximum number of emails that will be sent from the email account per day. The field’s value will be set to 200 if you leave it blank. For new accounts, we recommend setting the daily limit to 50-70.
Leave optional fields blank to apply default settings. You can adjust them later in the email settings on the Email accounts page.
Step 2. Upload CSV and review import report
To start the import, upload your file on the Email accounts page. Click Browse files and select the CSV file from your computer.
Enable the option “Skip the first row if it has headers” if your file contains column titles (as shown in the sample file).
After the import is complete, Snov.io will show the import summary. It will display the number of accounts successfully added and accounts skipped due to errors.
To help you troubleshoot errors, we’ll generate a file with the accounts that couldn’t be imported.
You can download this file and review the error details in the separate Error column, where we specified the error reasons for each account. Use this information to adjust your data and re-upload the file.
Import errors most often happen for the following reasons:
- Missing or incorrect data in required fields
Ensure that all required fields for the accounts with errors are correctly filled out. The specific fields causing the errors will be listed in the Errors column of the Import errors file. Review this file to identify and correct the issues.
- Incorrect file formatting
Each account’s data should be entered in a single row in the CSV file. There should be no blank rows between rows with data.
There will be an error if the file contains duplicate rows (data for the same account) or if the account was already added previously (via import or manually).
Step 3. Review added email accounts
For each imported account, Snov.io will automatically create a record using the data in your file and check the connection for each account.
After the import, check the connection statuses on the Email accounts page:
Green status indicates a successful connection. Red status means the connection failed.
A red status means Snov.io received an error from your email provider while attempting to connect using the details provided in your file. To understand the issue, review the error details in the email settings. Click the Edit icon on the right to open the settings page.
